Privacy and your information
This page explains what information WatershedWork collects, who can see it, and how to remove it. We have tried to write it in plain language rather than legal boilerplate.

The short version
- We do not sell, rent, or trade your information, and we never have.
- There are no ads on the portal and no advertising trackers.
- We do not share your information with other organizations, including our municipal partners.
- You can leave the community or ask us to delete your account and information at any time.
- One outside company is involved: HighLevel, the service that hosts the portal for us.
What this covers
This applies to our main website at watershedwork.help and to the Community Portal at portal.watershedwork.help.
The main website is a plain set of pages. It does not track you, and it does not use analytics or advertising cookies. Two parts of it connect to our portal software: the contact form and the portal signup form. Those are described below.
What we collect
Information you give us. When you sign up for the portal or use a form on this site:
- Your name and email address
- Your municipality or general location in the watershed
- Your role, such as resident, HOA member, or municipal staff
- Your interests, so we can point you toward relevant events and guides
- Anything you choose to add to your profile, and anything you post in the community
You control how much of this you provide. Your name and email are needed to create an account. The rest is optional.
Basic technical information. Like nearly every website, the portal uses cookies to keep you signed in, and our hosting provider records routine technical details such as your IP address and browser type. We do not use this to build a profile of you, and we do not run advertising trackers.
Why we collect it
We use your information to:
- Create and maintain your portal account
- Send you event announcements, reminders, and watershed updates
- Suggest guides and events relevant to where you live and what interests you
- Answer your questions when you contact us
- Understand, in aggregate, how many people are participating across the watershed
That is all. We do not use it for any other purpose.
Who can see your information
- Other members can see your profile and anything you post in a group you both belong to. Treat posts as visible to the whole group.
- The general public cannot. Anyone is welcome to join the Resident Community, but it is a private group: posts inside it are visible to members only, not to visitors or to anyone browsing the web.
- Our staff and moderators can see your account details and your posts.
- Municipal partners have their own private group. Being a resident member does not give any municipality access to your account or contact information.
Your email address is never visible to other members.
Who we share it with
We do not sell, rent, or trade your personal information to anyone, and we do not share it with advertisers or data brokers.
One outside company is necessarily involved. The portal, our email list, and our website forms run on HighLevel, a commercial platform we pay to provide this service. Your information is stored on their systems so the portal can function. They act as our service provider and handle the data on our behalf. We want to be straightforward that your information sits on a vendor's servers rather than only on ours, because "we don't share your information" would not be the whole picture.
The only other circumstance in which we would disclose information is if we were legally required to, which has never happened.
Emails you will receive
We send event announcements, workshop invitations, seasonal watershed updates, and occasional notices about the portal. We do not send advertising and we do not email on behalf of other organizations.
Every email has an unsubscribe link at the bottom. Using it stops the emails but leaves your portal account in place, in case you still want to sign in and browse.
Leaving, and deleting your information
We think this should be easy, so here are all three options plainly.
1. Stop the emails. Click the unsubscribe link at the bottom of any email from us.
2. Leave a community group but keep your account. Open the group, go to the About tab, click the three-dot menu on the group card, and choose Leave Group.
3. Delete your account and your personal information entirely. Use our account deletion form and we will take care of it. We aim to complete deletions within a few days, and we commit to no more than 30 days.
You do not have to give a reason, and we will not ask you to sit through a retention pitch.
What deletion actually does
We want to be accurate rather than reassuring, so here is exactly what happens.
When we delete your account, your contact record is removed along with your profile, your message history with us, and the notes and activity attached to your record. You immediately lose access to the portal and you are removed from the community. This cannot be undone.
The 60-day detail. Our platform keeps deleted records in a recoverable state for 60 days before erasing them for good. This is a safeguard against accidental deletion. Your account is closed and inaccessible right away, but the underlying data is fully purged at the end of that window rather than the instant we press the button. We would rather tell you this than claim an immediate wipe that is not what actually occurs.
Your posts and comments. Posts you made in a community group may remain visible after you leave. You can delete your own posts and comments yourself at any time while you still have access. If you would like them removed as part of your account deletion, say so on the form and we will take them down.
A note on the form itself. To delete the right record we need to know who you are, so the deletion form asks for your name and email. We use it only to find and remove your account, and the request itself goes away with the rest of your record.
Children
The portal is intended for adults. Young people are welcome at our events and workshops, but we do not knowingly create portal accounts for children under 13. If you believe a child has registered, please let us know and we will remove the account.
Changes to this page
If we change how we handle your information, we will update this page and change the date at the top. If a change is significant, we will say so in the portal or by email rather than quietly editing it.
